Guest Policy

Payment & Reservations

  • Advanced Payment: An advanced reservation payment of 50% is required to confirm your reservation at time of booking. Advanced reservation payments are not damage deposits and may be made by credit card, bank transfer, or check. Any remaining balances are due 45 days prior to arrival. Reservations made within 45 days of arrival require full payment at time of booking. For reservations made on this site, a deposit of half the rental amount is required to confirm booking, with the remaining half, taxes, fees, and damage deposit due 2 days prior to arrival.
  • Confirmations: Upon receipt of your final advanced reservation payment, your reservation confirmation will be emailed to you with directions and arrival instructions. Please print all sheets.
  • Rates: Rates are subject to change without notice based on a dynamic booking system and are updated daily based on local occupancy. Southern Pass-A-Grille Beach House Bungalows reserves the right to correct rates that may have been misquoted. Weekly rates should be requested by emailing Tyler directly for better pricing.
  • Taxes & Fees: Tax in Pinellas County is 6%, plus 7% state tax, for a total of 14%. Guests are responsible for all taxes. There are currently no processing fees. A non-refundable housekeeping fee will be charged to all reservations and varies based on property size.

Cancellation & Refunds

It is strongly encouraged that all guests purchase CSA Travel Protection Insurance, which includes a Cancel For Any Reason (CFAR) option. This option must be selected and purchased within a specified time frame to apply to your stay.

Guests who do not purchase CSA Travel Protection Insurance may only cancel 6 weeks prior to their scheduled arrival date and receive a refund of the advanced payment minus a $100 cancellation fee.

Refund Policy

  • If notified 60 days prior to arrival: full refund of any amount paid, less $100 in administrative fees
  • If cancelled within 30 days of arrival: refund of the cleaning fee and 50% of any amount paid
  • Guest will be charged a $100 administrative fee for changes to reservations

Southern Pass-A-Grille Beach House Bungalows does not give refunds for man-made, unsupported emergencies (where Pass-A-Grille beach is not under mandatory evacuation) or technological disasters.

Note: If you rented through VR/HomeAway, their service charge paid in the initial payment will not be refunded as it was paid to them, not Southern Pass-A-Grille Beach House Bungalows.

Hurricanes & Tropical Storms

No refunds will be made due to hurricanes or tropical storms, even in the event of mandatory evacuations. Refunds for hurricane or tropical storm evacuations are only available through CSA Travel Protection Insurance under their policy.

CSA Travel Protection Insurance

The insurance premium is 6.95% of your total reservation amount and can be added at the time of booking.

Check-In & Check-Out

Check-In Time

Check-in begins at 4 p.m. local time. In some cases, access to your property may be unavoidably delayed due to cleaning or maintenance issues. Southern Pass-A-Grille Beach House Bungalows does not guarantee early arrivals. No refunds will be given for late arrivals or early departures.

Check-Out Time

Check-out is no later than 10 a.m. local time on your scheduled departure day. Guests departing after 10 a.m. will be subject to an additional fee. Properties must be left in neat condition with all trash removed, dishes cleaned, and bed linens and towels pulled. Excessively dirty properties will incur additional charges.

Parking & Keys

Display your designated parking pass at all times in your vehicle when parked on the street. Additional designated parking areas on the property will be explained in your Check-In/Welcome letter or email. The parking pass must be returned before departure and left in your rental. There is a $500 fee for losing this pass. Only one pass per rental per year is allowed. Bicycle lock keys must also be returned with the parking pass.

Pets

Pets must be approved in advance by the owner and must be non-aggressive toward other animals, adults, or children. You must provide a health note from your vet dated within 30 days of travel noting that your pet is on a flea treatment and heartworm program. Send a picture via email or mail the original. A copy of your pet's health certificate is required 3 weeks prior to arrival. You are responsible for picking up after your animal. A non-refundable cleaning fee of $85 is required for pet owners.

Minimum Stay & Family Rentals

All properties require a three (3) night minimum stay. In some cases, a 1-night minimum may be allowed at Southern Pass-A-Grille Beach House Bungalows' discretion.

All properties are for family and adult rentals only. No properties will be rented to vacationing students or adults under 25 who are unaccompanied by a responsible parent or guardian. A parent or guardian must be staying in the property at all times. Violators will be evicted and forfeit all rental payments and deposits. This policy includes reservations made by parents or guardians who check underage guests in, then leave before the entire stay is completed. In accordance with Florida State Statute 509.141, reservations made under false pretense are null and void and check-in will not be allowed.

Property Damage & Liability

An active credit card is required to maintain your reservation and the integrity of the property. By making a reservation with Southern Pass-A-Grille Beach House Bungalows, you waive your right to dispute any charges made to your credit card regarding this policy.

Report any damages found upon arrival immediately. Southern Pass-A-Grille Beach House Bungalows reserves the right to bill your credit card for:

  • Damage to the property or theft
  • Violations of rental policies
  • Property not left in neat and orderly condition
  • Garbage not removed from the property

Disclaimer

The Renter agrees that Southern Pass-A-Grille Beach House Bungalows shall not be liable to Renter, Renter's Guests, Invitees, or any person for any injury, loss, or damage to any person or property on or about the rental premises. Renter shall hold Southern Pass-A-Grille Beach House Bungalows harmless and indemnified from all loss or damage occasioned by use, misuse, or abuse of any part of or fixture on the premises, surrounding areas, and from any omission, neglect, or default of the Renter, his/her Guests, or Invitees. Southern Pass-A-Grille Beach House Bungalows, acting solely in the capacity of property owner, assumes no liability.

House Rules

  • Smoking: Smoking and vaping are not allowed in any Southern Pass-A-Grille Beach House Bungalows property. Guests found in violation will be billed an additional fee.
  • Subletting: Reservations are not transferrable.
  • Maintenance: Please report any maintenance issues during your stay. Maintenance orders will be handled in the order received. Southern Pass-A-Grille Beach House Bungalows staff and authorized vendors may enter the properties to respond to maintenance or housekeeping issues during your stay. There are no refunds or adjustments for maintenance issues or unforeseen failures such as electricity, water, telephone, television, cable or satellite service, appliances, or air conditioning.
  • Internet: Southern Pass-A-Grille Beach House Bungalows provides internet access at no additional charge but does not guarantee internet connectivity. If you access any internet content during your stay, you do so at your own risk and are responsible for ensuring that accessed material does not violate laws regarding copyright, trademarks, pornography, or material deemed slanderous, defamatory, or offensive. No refunds will be given due to loss of internet service.
  • Beach Towels: Southern Pass-A-Grille Beach House Rentals provides beach towels. Towels, sheets, blankets, or furniture may not be removed from the property when vacating.
  • Housekeeping: All properties are stocked with an initial supply of coffee, filters, creamer, sugar, trash liners, toilet paper, paper towels, and dishwasher soap. Once depleted, it is up to guest discretion to purchase additional supplies during their stay if needed.
  • Neighborhood Rules: Most neighborhoods have strict rules regarding parking, garbage removal, respect for neighbors' privacy, and noise level. Contact Southern Pass-A-Grille Beach House Bungalows with questions about restrictions. Guests are encouraged to be good neighbors.
  • Long-Term Rentals & Mailboxes: Southern Pass-A-Grille Beach House Bungalows does not guarantee use of a mailbox with every rental. No long-term rentals over 30 days are allowed.
